About the role:

The successful candidate will be assisting the HR department in implementing the HR strategy and ensure all the HR functions are coordinated. Company size 150+ operational in 3 countries. The role will involve hands on employee contact to ensure employee engagement and excellence. The role holder is also required to have a good handle on HR analytics as will be responsible for data collection, reporting and analysis. Other attributes required are strong attention to detail and effective multitasking and prioritizing.

Skills required

  • Posts adverts and sources candidates
  • Shortlists CVs
  • Telephone screens candidates
  • First line interviews
  • Arranges interviews
  • Arranges and delivers assessment centres
  • Gives feedback to candidates
  • Saves suitable CVs for talent pool
  • Updates Job descriptions

Onboarding

  • Issues offer letters and tracks offers
  • Links with PRO for visa processing and produces weekly visa update reports
  • Creates and maintains employee files
  • Issues contracts in required timescales
  • Collects all new joiner information
  • Delivers HR induction presentation and employee handbook information
  • Collects all induction completion paperwork and records for KPI tracking
  • Collects all probation assessment paperwork and records for KPI tracking

Employee relations

  • First point of contact for all employees
  • Advises and refers to policies where appropriate
  • Refers to HR Admin Manager and HR Manager when appropriate
  • Maintains shared driver to ensure up to date with all policies and procedures

Training

  • Organizes events with best value purchasing in mind
  • Invites all attendees
  • Collects feedback from training events
  • Logs attendances and feedback
  • Issues Line Managers with feedback reports
  • Issues Line managers with training log for team in line with appraisal cycle and performance reviews
  • Delivers induction programme
  • Research training events and negotiates with vendors

Disciplinary and grievance

  • Screens warning letters to ensure all evidence is sufficient
  • Issues warning letters on direction of Hr advisor
  • Tracks all warning issued
  • Attends disciplinary meetings, poor performance, capability and grievance to take notes
  • Collects all evidence and documents for disciplinary hearings
  • Coordinates and arranges interviews and hearing for disciplinary and grievance

Attendance management

  • First point of call to report absence
  • Tracks all absence and logs on attendance record
  • Collects self-certificates and return to work interviews
  • Identifies any patterns of concern and raises with Line Manager and HR advisor
  • Attends absence concern meetings to take notes
  • Receives all daily time record and quality assure
  • Tracks TOIL due and links with Line Managers to ensure resolved asap

Exit and separation

  • First point of call for resignations
  • Conducts exit interviews
  • Collects and tracks all reasons for resignation/ termination and raises concerns
  • Notifies payroll and processes EOSB

Record keeping and performance

  • Monitors and tracks all KPIs
  • Collects data for KPIs and procedures KPI report
  • Produces analytical reports for HR stats
