Job Summary: We are currently seeking a detail oriented and versatile individual to join our team as a Dataentry/ Secretary in Dubai. This position requires a combination of exceptional organizational skills, excellent communication abilities, and the ability to handle multiple tasks efficiently. As a Receptionist / Secretary, you will play a vital role in maintaining smooth office operations and providing administrative support to various departments.
Responsibilities:
- Must be experienced in document management
- Scanning and organizing files preparing files as per requirement
- Greet and welcome visitors, clients, and employees with a friendly and professional demeanor.
- Answer and direct incoming calls, taking messages and transferring calls to the appropriate individuals.
- Manage the reception area, ensuring it is clean, organized, and reflects a professional image.
- Schedule and coordinate appointments, meetings, and conference room bookings.
- Handle incoming and outgoing mail, packages, and deliveries.
- Assist in making travel arrangements, including flights, accommodations, and transportation.
- Maintain office supplies and inventory, placing orders as needed.
- Prepare and modify documents, including correspondence, reports, memos, and presentations.
- Conduct basic bookkeeping tasks, such as managing expenses and processing invoices.
- Assist with HR-related tasks, such as maintaining employee records and coordinating interviews.
- Provide administrative support to various departments, including data entry, filing, and record-keeping.
- Handle inquiries and provide accurate information about the company's products, services, and operations.
- Maintain confidentiality and handle sensitive information with professionalism and discretion.
Requirements:
- High school diploma or equivalent qualification. Additional education or certifications are a plus.
- Proven work experience as a Receptionist, Secretary, or in a similar administrative role.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficient in using Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with office equipment, such as printers, scanners, and telephone systems.
- Attention to detail and a high level of accuracy in work.
- Ability to prioritize tasks and meet deadlines.
- Professional and friendly demeanor, with exceptional customer service skills.
- Fluency in English is required. Knowledge of Arabic or any other language is a plus.
