About the Department
The Facilities Department is seeking applications from enthusiastic, dedicated and self-motivated individuals to fill the position of Driver cum Facilities Assistant. The role is responsible for providing transportation services and coordinating various facilities-related tasks within the University. They play a vital role in ensuring the safe and efficient transportation of personnel and materials, as well as supporting facility maintenance and operations.
Responsibilities
Transportation services:
- Safely operate company vehicles to transport personnel, clients, and guests to designated locations.
- Adhere to traffic rules and regulations, ensuring the safety and comfort of passengers.
- Maintain the cleanliness and proper maintenance of company vehicles.
- Plan routes and schedules to optimize time efficiency.
Facilities coordination:
- Assist in the coordination of facility-related activities, including maintenance, repairs, and renovations.
- Conduct routine inspections to identify any maintenance or repair needs.
- Coordinate with external vendors and contractors for facility services, ensuring timely completion of tasks.
- Maintain inventory of facility supplies and equipment, replenishing as needed.
- Monitor and ensure compliance with health and safety standards in the workplace (includes monitoring of University CCTVs)
Mail and courier services:
- Collect, sort, and distribute incoming mail and packages.
- Prepare outgoing mail and packages for courier or postal services.
- Maintain records and logs of mail and packages received and sent.
Office support:
- Assist with general office tasks, such as photocopying, filing, and organizing documents.
- Provide support for meetings and events, including setup, teardown, and arrangement of furniture or equipment.
Procurement and inventory:
- Assist in procuring office supplies, equipment, and other materials as needed.
- Maintain inventory records and ensure adequate stock levels are maintained.
- Coordinate with suppliers and vendors to ensure timely delivery of goods and services.
Safety and security:
- Follow established safety protocols and guidelines, reporting any incidents or hazards promptly.
- Assist in implementing security measures to protect company assets and personnel.
Qualifications & Experience
- High school diploma or equivalent (additional relevant certifications or training is a plus).
- Valid driver's license and a clean driving record.
- Proven experience as a driver, preferably in a corporate or professional environment.
- Familiarity with local traffic rules and regulations.
- Basic knowledge of vehicle maintenance and care.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and collaboratively as part of a team.
- Basic computer skills for record-keeping and communication purposes.
- Physical fitness and the ability to perform manual tasks as required.
- Flexibility to work outside regular business hours when necessary.
