The Property Manager overseas all property management activity and interacts with the Management, Tenants, Applicants, and public. (ARE) Property Managers interact with, and when directed by Management, can supervise property management Personnel. Their job description includes, but is not limited to the following:Duties & Responsibilities:TENANTS· Finding Tenants – Property Managers are responsible for finding new tenants· Screening Tenants – they are responsible for sorting through the prospective tenant applications to find the tenant that is the best fit for our property in order to select the right tenants; those who will pay their rent on time, have a longer tenancy and create fewer problems.· Contracting with tenants by negotiating leases within the agreed scheme.· Arrange and handle viewings within the assigned properties.· Enforcing Rules of occupancy· Maintaining Tenants relations· Handling Leases – they are responsible for setting the length of the lease and making sure it has all the necessary provisions to protect the company.· Handling Move-Ins as per the company procedures.· Handling Renewals – they are responsible of renewals send outs, processing and finalizing the renewal as per the company procedures.· Handling Non-renewals – Liaising with Customer Services before finalizing Renewals.· Handling Emergencies – they must have the necessary contacts to handle Emergency situations.· Handling Move Outs – as per procedures.· Dealing with Evictions – when a tenant does not pay rent or otherwise breaches the terms of a lease, the property manager understands the proper way to handle the situation as per the company policies and procedures.SUPERVISING PROPERTY PHYSICAL STANDARDS· Property managers are responsible for the physical management of the property including the facilities.· Maintenance – they are in charge of performing preventative check-ups to keep the property functioning in top condition.· Major Repairs – when there is a major issue, the Property Manager must supervise Good property managers have a thorough knowledge of country laws and company rules regarding the proper ways to Screen a tenant to Terminate a lease to Evict a tenant to Comply with property safety standards SUPERVISING· Other Employees – if there are other employees in the property, such as concierge or security personnel, the property manager is responsible for making sure they are doing their job, reporting any misconduct to their Manager.· Vacant Properties – property managers make sure maintenance and other repairmen are completing their work in a timely manner. MANAGING THE BUDGETS/MAINTAINING RECORDS· Property Managers are responsible for managing the budget for the building and maintaining all pertinent records.· Managing Budget – prepare and achieve Revenue and Occupancy Budgets for their assigned properties, analyzing variances and initiating corrective actions.· Maintaining Records – the Property Manager should keep thorough records regarding the property. PREPARING REPORTS· Prepare daily/weekly/monthly and quarterly reports such as but not limited to: Daily Vacant Apartments list, Daily Occupancy Report.· Conduct Market research for their area on quarterly basis. LIASING WITH MARKETING· To effectively promote their properties.
