Job Overview:

We are seeking a highly organized and professional Personal Assistant with a minimum of 3 years of experience within the real estate development industry.

. The successful candidate will provide comprehensive support to the Chairman, ensuring efficient management of their schedule, communications, various personal and professional tasks, administrative duties, and HR responsibilities. Knowledge of Arabic is considered an asset in facilitating communication and understanding within our diverse, multicultural environment.

Key Responsibilities:

  • Executive Support: Manage and coordinate the Chairman’s calendar, including scheduling meetings, appointments, and travel arrangements. Handle correspondence, phone calls, and emails with discretion, including those requiring knowledge of Arabic.
  • Administrative Tasks: Organize and maintain files and records for efficient information retrieval. Assist in the preparation of regularly scheduled reports. Manage office supplies stock and place orders as necessary.
  • HR Responsibilities: Assist with recruitment efforts, scheduling interviews, and initial screening processes. Help in organizing staff training sessions and activities. Maintain employee records, ensuring compliance with HR policies.
  • Document Preparation: Prepare documents, briefing papers, reports, and presentations for meetings and business trips.
  • Confidentiality: Ensure confidentiality and discretion in handling sensitive information and business matters.
  • Liaison: Liaise with internal departments and external contacts to facilitate smooth communication and task completion.
  • Special Projects: Manage special projects and undertake occasional ad-hoc duties.

Qualifications:

  • Minimum of 3 years of experience in a similar role, preferably within the real estate development industry.
  • Strong administrative skills and experience with office management systems and procedures.
  • Prior experience handling HR-related tasks is highly desirable.
  • Exceptional organizational and time management skills.
  • Advanced proficiency in MS Office and familiarity with business communication tools.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • Excellent communication skills in English; proficiency in Arabic, French, or Russian is a plus.
  • Ability to work independently and as part of a team, with a proactive approach to problem-solving.
  • Flexibility to travel and adjust to varying schedules as needed.
  • Bachelor’s degree in Business Administration, HR, or related field is preferred.
