- Coordinate property inspections by scheduling qualified vendors and reviewing their reports to identify maintenance needs.
- Oversee tenant relations, including lease agreements, rent collection, and addressing tenant concerns in a professional and timely manner via phone, email, and online portals.
- Manage the Ejari registration process for all tenancies, ensuring compliance with Real Estate Regulatory Agency (RERA) regulations.
- Advertise and market vacant units through online platforms and liaise with leasing agents (if applicable) to attract high-quality tenants.
- Develop and maintain positive relationships with landlords, keeping them informed of property performance,maintenance needs, and any issues via regular reports and communication.
- Manage financial aspects of the properties, including collecting rent, handling operating expenses through invoices and vendor payments, and preparing budgets.
- Generate reports on property performance, including occupancy rates, maintenance costs, and rental income.
- Liaise with relevant authorities, such as DEWA (Dubai Electricity and Water Authority) and DLD (Dubai Land Department), as required.
- Creating, Editing, Updating and Publishing listings on Property Expert, Bayut and Dubizzle thru the relevant CRM's.
ADMIN Role:
· Obtaining the Trakheesi Permits for all advertisements.
· Registering and Renewing Agreements with the respected Developers.
· Managing listings on Property Expert, Dubizzle and Bayut. Ensuring High Quality Scores for each listing and ensuring that all listings are verified and true checked.
· Drafting and Creating Contract A, Contract B, Contract F, MOU, NOC, Form I and other property related contracts online through Dubai Rest App and completing all paperwork for all real estate transactions in a timely manner to ensure that the deal is closed as quickly as possible.
· Drafting Tenancy Contract and Addendum for New and Renewal properties. Ensuring both tenant and Landlord documents are complete and updated on the CRM system.
· Follow up with Agents and Clients for documents, and details as necessary
· Perform any additional responsibilities as requested or assigned.
· Punctual and presentative with a good personality.
· Maintaining property files & Mail management.
· Manage all financial transactions and expenses within the office, ensuring accuracy and accountability.
Qualifications:
- Minimum 2-3 years of experience in property management and Real Estate Admin, ideally in Dubai.
- Strong understanding of Dubai real estate regulations and the Ejari system.
- Excellent communication and interpersonal skills, with the ability to build rapport with tenants, landlords, and vendors over the phone and email.
- Proven ability to manage multiple tasks efficiently and prioritize workload in a fast-paced environment.
- Strong analytical and problem-solving skills.
