Warehouse Administrator

The opportunity will be primarily based in Dubai, United Arab Emirates, and the Company is looking at onboarding a competent and well experienced Warehouse Administrator within its Operations Department.

Key responsibilities:

  • Support in departmental functions including liaising with customers, suppliers and transport companies as required.
  • Ensure timely monitoring & accurate reporting including individual and team KPIs.
  • Support in implementing appropriate safety procedures, review of safety practices, investigation of injuries and unsafe conditions, taking appropriate corrective action and ensuring full adherence to SOPs and policies.
  • Support Key accounts operations manager to liaise with customers, suppliers and transport companies as required.
  • Implement appropriate safety procedures, review safety practices, investigate injuries & unsafe conditions and take appropriate corrective action.
  • Identify opportunities for improving operations, identify resource needs reviews with appropriate management staff and implement improvements.
  • Arrange group meetings including weekly meetings with customer as required by Key Accounts Operations Manager.
  • Direct, coordinate and review the work plan for assigned staff, assign work activities monitor work flow, review and evaluate daily work, method and procedures, meet with staff to identify and resolve problems.
  • Meet warehouse operational standards by contributing warehouse information, implement productivity, quality and customer standards, resolve problems and identify warehouse system improvements.
  • Maintain storage area by organizing floor space, adhering to storage design principles and recommending improvements.
  • Maintain inventory by conducting physical counts, reconciling variances and update data.
  • Ensure an efficient warehouse operation which is able to fulfil operational and customer demand.
  • Provide a safe working environment, adhering to health, safety and environmental procedures and ensuring that it is practiced by all team members.
  • Plan, coordinate and monitor the receipt, storage and dispatch of goods.
  • Understand customer needs and ensure with the needs and commitment of the business.
  • Ensure inventories are accurate and control inventory levels by ensuring physical counts are conducted and reconciled with the automated system.
  • Ensure the relevance and accuracy of all documentation relating to goods in and goods out including labelling of all stock items.
  • Ensure efficient and effective use of warehouse space to include layout and future capacity requirements.
  • Ensure any hazardous materials are stored in accordance with the requirements.
  • Establish, monitor and maintain high standards of security in the warehouse by setting security procedures.
  • Ensure that all vehicles, machinery and equipment are well maintained and fit for purpose.
  • Communicate with warehouse staff on regular basis to make them aware of priorities, targets and operational requirements.
  • Assist senior management in ensuring effective relationship with client business through maintaining an appropriate interface between suppliers and customers.
  • Liaise with customers, suppliers and transport companies as and when required in a timely way and handle any concerns.
  • Maintain regular departmental KPI reports, compliance reports, exception reports, performance reports of employees along with relevant score cards for regular employee followed by regular timely management reporting with business insights for decision making.
  • Maintain sufficient records, logs, trackers, reconciliations and dashboards.
  • Establish and manage departmental KPIs, employee performance review process, departmental and individual score cards etc. and establish a performance driven process.
  • Ensure adherence to all rules and regulations including Jebel Ali Free Zone Authority, QHSE, and UAE Labor Law.
  • Ensure individual and team compliance with Company policies and procedures in its entirety.
  • Liaise with customers, suppliers and transport companies as and when required in a timely way and handle any concerns.
  • Perform other duties as assigned by the Management.

Qualifications

  • Bachelor's degree or equivalent from accredited University.
  • Having experience of handling warehouse operation, preferably in logistics.
  • Previous management experience with the ability to manage and motivate others.
  • Previous experience of inventory control.
  • A full understanding of the requirements of running a warehouse, such as health, safety and security requirements.
  • Minimum 10 years of experience in the relevant field directly related to the duties and responsibilities specified with at least 5 years in UAE market.
  • Advanced skills in MS Office including excel.
  • Valid UAE driving License will be an added advantage.
