Job Overview:

We are looking for a highly organized and detail-oriented Document Controller with basic accounting experience to join our team. The ideal candidate will manage and maintain important company documents, ensuring smooth and efficient documentation processes while assisting with basic accounting functions. This role requires strong attention to detail, excellent communication skills, and the ability to work well in a fast-paced environment within the foodstuffs trading industry.

Key Responsibilities:

  • Organize, classify, and manage both electronic and hard copy documents.
  • Maintain and update records, files, and document logs to ensure proper documentation flow and access.
  • Ensure compliance with company standards and relevant regulations related to document management.
  • Prepare and track documents for distribution to internal and external stakeholders (e.g., suppliers, customers, regulatory bodies).
  • Archive and store documents in a secure and accessible manner for easy retrieval.
  • Assist in implementing and improving document control processes and systems.
  • Assist with basic accounting tasks, such as invoice processing, data entry into accounting software, and reconciling vendor statements.
  • Support in maintaining accurate records of transactions, accounts payable, and accounts receivable.
  • Assist in preparing reports for financial reviews and audits.
  • Help track and manage payments, receipts, and purchase orders related to foodstuffs trading.
  • Coordinate and communicate with various departments to ensure timely document processing and accuracy.
  • Support the finance and procurement teams with document-related inquiries.
  • Assist with inventory management and documentation related to product shipments, deliveries, and stock levels.

Qualifications:

Education: High school diploma or equivalent; associate’s or bachelor’s degree in Business Administration, Accounting, or related field preferred.

Experience:

  • At least 1-2 years of experience in document control or a similar administrative role.
  • Basic understanding of accounting principles and prior experience with invoicing, data entry, or financial recordkeeping is required.
