To handle all properties’ advertisements and listings by acting as CRM Admin and Layan Representative in the relation with different Portals & Developers; so that can generate more business leads and/or opportunities by attracting new clients to achieve the business objectives of LAYAN GROUP.
DUTIES & RESPONSIBILITIES
CRM Administration:
· Create users on the system and distribute the temporary passwords accordingly.
· Make sure that the CRM users are verified.
· Manage the access of other users.
· Add available properties for sale/rent on the CRM with the approved criteria of listing.
· Review all additions done by other users prior to approving them to be published.
· Give feedback by adding notes in case the listings are not matching the approved criteria.
· Add/Link the outside portals to the CRM.
· Publish the listings on portals and Layan’s website through CRM.
· Modify the listed properties’ descriptions in case of any changes in prices, offers… etc.
· Update the listed properties’ status based on updates from Finance/Property Management for property booking or deal closing.
· Refresh the long-listed properties after checking their status with the Property Administration and/or Agents responsible for.
· Deactivate the listing on CRM once deal is closed.
Portals Relations & Administration:
· Act as the point of contact between Layan Group and all portals dealing with.
· Make sure that all listings done through CRM are valid and matching the publishing criteria.
· Check the quality of the listings.
· Check that all listings are updated on daily basis to make sure that they are well used like featured listings, signature listings… etc.
· Monitor the number of listings on portals on daily basis to avoid any excess that might cause penalty for over usage.
· Generate the statistics reports from each portal to analyse the impact of the company’s listings on generating new leads and business opportunities.
· Prepare comparison between the different portals based on the generated reports.
· Submit the reports to the management with recommendations related to the usage efficiency of each portal.
· Attend the training sessions conducted by portals for new features and other updates.
· Coordinate and arrange the training with portals for new joining Agents.
· Coordinate and arrange the training with developers for new projects.
General Duties:
· Coordinate and arrange trainings at Real Estate Regulations Authority RERA and Dubai Land Department DLD for Agents and other concern employees.
· Apply for Brokers Identity Cards’ (new, renewal and cancellation) on Trakheesi Portal.
· Apply for “Property Permit” on Trakheesi portal to enable the advertisement process as per DLD & RERA rules.
· Approach the Real Estate Developers to get NOCs and get Brokerage Agreements signed as per Management’s instructions.
· Attending calls and inquiries by clients who are interested to deal with Layan and assign them to the concern Agent.
· Any other duties and tasks might be assigned by the Management.
Qualifications:
§ Bachelor degree
Experience:
§ 2 to 4 years of experience in Admin Role preferably in Real Estate in UAE.
Skills:
§ Excellent command in English both verbal and written.
§ Excellent organizational skills and attention to details.
§ Advanced user of MS Office applications with excellent computer skills. Customer service oriented.
