Position: Sales & Leasing Officer (Arabic)

Role Overview:
The Leasing & Sales Officer will report directly to the Real Estate Manager and will be responsible in leasing, sales and revenues, operating of all rental properties owned by the company or under contract for management.
Assist in the resident development activities for current & prospective tenants and provide office support for the property management program. Coordinate, support sales and provide excellent customer relationship with the existing and future tenants.
· With the approval of the Leasing & Sales Manager, facilitates lease or rental agreement between the owner of the property and the renter, obtain client signatures on leasing agreements, ensures that applications are completed properly by prospective tenants, verifies information on leasing applications and review leasing contracts with tenants
· Supporting in achieving and maintaining high occupancy rates
· Ensures compliance with corporate governance policies and procedures in the execution of sales and leasing activities
· In charge of the Abu Dhabi Municipality and Tawtheeq systems, Tenancy & Leasing system, or any required system related to rental, tenancy and leasing
· Explain leasing policies to prospective renter, conducts background checks on prospective tenants, getting customers feedback to determine improvement and handling customers complaints
· Maintain current information on all aspects of a property including size, special features, expiration of current leasing agreements and pricing, assisting in marketing and leasing by showing units to prospective tenants, and processing applications and pertinent information
· Maintain an excellent relationships with existing tenants, follow compliance guidelines, document work orders & coordinate with contractors for resolution, ensuring an effective working relationship with landlords, developers and clients
· Maintain the appropriate systems for sound tenant management, including data entry and maintaining all tenant information
· Process, track and monitor lease renewals/recertification, and assist with move out procedures
· Responsible for all the paperwork such as applications, agreements, credits/payment, follow-up any due payment and responsible for arranging move-in packages to new tenants
· Manage the receipt and record keeping of rental fees and payments, and post non-recurring charges to residents’ accounts
· Pay attention to changes in the market rates, competitor analysis, upcoming projects and amend the leasing strategy whenever required
· Compare a property with similar properties that have recently leased in order to determine its competitive market price
· Cold calling and reaching out to prospective clients, confidently pitching the services to a wide audience to generate leads, obtaining contact information from home buyers/renters and sellers and advertising the services over the phone for expanding client’s list
· Handles client service requests and corresponds with maintenance personnel to take care of all requests before new tenants moves-in
· Respond to customer enquiries related to leasing and rental availability and provide suitable options for the clients based on the listings provided
· Provide information to clients about a particular property and the community, determine and matches customer needs with properties that are available for leasing
· Offers suggestions to marketing departments on ways to effectively promote and advertise properties
· Represent the company in key networking events, open house, exhibitions and others
· Generate lists of properties that are compatible with tenants / landlords needs and financial resources
· Organize and coordinate office operations and procedures in order to ensure organizational effectiveness and efficiency for the rental portfolio, including implementing office standards, policies, and procedures
· Maintain good understanding of various systems and administrative procedures linked to the organization and department. Facilitate provision of timely and quality support to the Manager and the full department
· Draft and prepare standard correspondence, routine memos, presentation slides, status and summary reports, etc., for the Manager and full department. Being supported independently and follow instructions from the concerned Manager and full department to draft non-routine correspondence
· Provide, on an ad hoc basis, quality support on functional projects related to the department through activities such as documentation, data collection, analysis, planning, and coordination with internal and external parties
· Maintain and update standard templates and formats on the computer to facilitate efficient work on documentation
· Establish, maintain, and update the filing system for the department (manual and electronic) to ensure effective storage and quick retrieval
· Monitoring and updating AFRE marketing channels platform such as but not limited to (Bayut, etc.)
· Prepare and review all the needed documents related to the residential and commercial leases and sales such as but not limited to (leasing contract, checklist, Refunds, offer letter, official needed communications, payments, SPA …etc.)
· Reviewing and updating AFRE SOP as per the management requirements
· Collaborating and preparing any needed documents, reports to be aligned with any Audits reviews and reports.
· Perform any other relevant tasks as directed by the line manager
