Manage office supplies stock and place orders

  • Prepare regular reports on expenses and office budgets/ Petty cash
  • Maintain and update company databases
  • Organize a filing system for important and confidential company documents
  • Answer queries by employees and clients both phone and email and digitally
  • Update office policies as needed
  • Maintain a company calendar and schedule appointments
  • Book meeting rooms as required
  • Distribute and store correspondence (e.g. letters, emails and packages)
  • Prepare reports and presentations with statistical data, as assigned
  • Arrange travel and accommodations
  • Schedule in-house and external events
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for

the director, some of which may have organizational impact.

  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters,

personal correspondence, and other tasks that facilitate the Director's ability to effectively lead the company.

  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful

completion, often with deadline pressures.

  • Participates as an adjunct member of the Executive Team including assisting in scheduling meetings and attending all meetings
  • Assists in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings
  • Facilitates cross-divisional coordination of travel and outreach plans and initiatives
  • Works with the Strategic Initiatives team in coordinating the Director's outreach activities
  • Follows up on contacts made by the Director and supports the cultivation of ongoing relationships
