Job Description

The Front Office Executive will be the first point of contact for visitors, clients, and employees. This role plays a crucial part in creating a positive and professional impression of the company. The ideal candidate should possess excellent communication and interpersonal skills, be well-organized, and able to handle various administrative tasks efficiently.

Responsibilities:

  • Greet and Welcome Visitors:
    • Warmly welcome and assist visitors, clients, and employees as they enter the office.
    • Ensure a professional and hospitable atmosphere at the front desk.
  • Answer and Direct Incoming Calls:
    • Manage a multi-line phone system, answer calls promptly, and direct them to the appropriate person or department.
    • Take accurate messages when necessary.
  • Handle Correspondence:
    • Receive and distribute incoming mail, packages, and deliveries.
    • Coordinate outgoing mail and courier services.
  • Maintain Reception Area:
    • Ensure the reception area is neat, organized, and presentable at all times.
    • Monitor and manage office supplies and replenish as needed.
  • Schedule and Coordinate Meetings:
    • Assist in scheduling and organizing meetings, appointments, and conference room bookings.
    • Coordinate with various departments to ensure smooth scheduling.
  • Assist with Administrative Tasks:
    • Support various administrative functions, including data entry, filing, and record-keeping.
    • Collaborate with other departments to provide administrative support as needed.
  • Provide Information:
    • Offer information about the company, products, and services to visitors and callers.
    • Direct inquiries to the appropriate department or personnel.

Qualifications:

  • High school diploma or equivalent; additional education or certification is a plus.
  • Proven experience as a Front Office Executive or similar role.
  • Proficient in MS Office (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Professional appearance and demeanor.
  • Customer-focused with a positive attitude.
