Our organization is looking for a skilled and detail-oriented Admin cum Document Controller (Female) to join our team. The preferred candidate should be highly organized with a demonstrated ability to handle a fast-paced environment and manage multiple tasks efficiently.

Requirements:

  • High school diploma
  • Must have knowledge in construction process and work procedure
  • Strong working knowledge of Microsoft office platforms
  • Minimum 3 years’ experience
  • Familiarity in site construction documentation
  • Excellent in team management
  • Strong communication skills, both written and verbal
  • Ability to multitask and prioritize own workload
  • Experience in using Aconex will be added advantage.

Typical duties will include but not be limited to the following:

  • Answering phone calls and redirect them when necessary
  • Assisting the manager and colleagues
  • Manage office supplies stock and place orders
  • Maintain cleanliness of office
  • Manage petty cash report
  • Organize a filing system for important and confidential company documents
  • Answer queries by employees and clients
  • Distribute office correspondence (e.g. letters, memos, emails etc.)
  • Prepare the monthly invoices of projects
  • Follow up pending payments
  • Assisting payroll officer to verify the staff duties at sites
  • Sending inquiries to the suppliers
  • Posting job vacancies in online platform, sorting of candidates CV if necessary
  • Initiate and update Online / Offline Registration of the Company and prepare the documents, obtain relevant information for the Pre-qualification.
  • Prepare submittal documents to Consultant (e.g Method Statement, Materials etc.)
  • Regular checking of the Tender Portals for any new initial projects that are open (e.g DM, Nakheel, Dewa etc.)
  • Support and facilitate the completion of regular reports
  • Assist in preparing commercial and technical documents for tender submission.
  • Receives, tracks, and monitors documents using standard document management programs to register documents, maintain databases, and produces logs, transmittals, and other reports as required. Initiates and replies to routine correspondence related to area of responsibility.
