As a Document Controller specializing in Mechanical, Electrical, and Plumbing (MEP) projects, your role involves managing and organizing project documentation related to MEP systems. Here are the key duties associated with this position:
- Document Management:
- Establish and maintain a document control system for MEP projects, ensuring efficient storage, retrieval, and tracking of project documents.
- Organize and categorize documents such as drawings, specifications, manuals, submittals, RFIs (Requests for Information), shop drawings, and change orders.
- Version Control:
- Implement version control procedures to track revisions and updates to project documents.
- Ensure that all team members have access to the latest versions of documents and drawings.
- Distribution and Transmittal:
- Distribute documents to relevant stakeholders, including project managers, engineers, subcontractors, and consultants.
- Manage the transmittal process, ensuring that documents are sent and received in a timely manner and that acknowledgments are documented.
- Document Review:
- Coordinate the review and approval process for MEP documents, ensuring that they meet project requirements and regulatory standards.
- Track the status of document reviews and approvals, following up with stakeholders as needed to expedite the process.
- Change Management:
- Manage changes to project documents, including tracking and documenting change requests, revisions, and updates.
- Ensure that changes are properly reviewed, approved, and communicated to all relevant parties.
- Coordination with Project Team:
- Collaborate with project managers, engineers, designers, and other team members to ensure that document control procedures are followed and that project documentation aligns with project requirements.
- Provide support and assistance to team members regarding document-related inquiries and requests.
- Quality Assurance:
- Implement quality control measures to ensure the accuracy, completeness, and integrity of project documentation.
- Conduct regular audits and checks to verify compliance with document control procedures and standards.
- Archiving and Record Keeping:
- Maintain an organized archive of project documents, ensuring that records are retained in accordance with project and regulatory requirements.
- Facilitate the handover of project documentation at project closeout, including compiling as-built drawings and operation manuals.
- Technology and Tools:
- Utilize document management software and tools to streamline document control processes and enhance efficiency.
- Stay updated on industry trends and best practices related to document control and information management.
- Training and Support:
- Provide training and support to project team members on document control procedures, systems, and tools.
- Foster a culture of document management excellence within the project team.
