Job Title: Secretary

Department: Maintenance Sales Support

Job Overview: We are seeking a highly organized and detail-oriented Secretary to join our Maintenance Support team. The ideal candidate will have a strong background in accounts management and customer relations, with the ability to handle invoicing, payments, collections, and client management through various portals.

Key Responsibilities:

  • Maintenance Sales Support:
  • Assist the maintenance sales team with administrative tasks, scheduling, and customer inquiries.
  • Provide support in preparing sales documents, proposals, and presentations.
  • Accounts Knowledge:
  • Maintain accurate records of financial transactions related to maintenance services.
  • Assist in the preparation and monitoring of budgets and financial reports.
  • Customer Relation Management:
  • Build and maintain strong relationships with clients, ensuring high levels of customer satisfaction.
  • Address and resolve client queries and issues promptly and professionally.
  • Follow Up Invoices:
  • Ensure timely and accurate issuance of invoices to clients.
  • Monitor and follow up on outstanding invoices to ensure prompt payment.
  • Payment and Collections:
  • Manage the process of receiving payments from clients and updating financial records accordingly.
  • Implement effective collection strategies to reduce outstanding receivables.
  • Using Different Portals to Upload Invoices:
  • Utilize various online portals and systems for uploading invoices and financial documentation.
  • Ensure all data entered into portals is accurate and up-to-date.
  • Client Management:
  • Maintain detailed client records, including contact information, communication history, and service agreements.
  • Coordinate with clients to schedule maintenance services and follow up on service delivery.

Qualifications:

  • Proven experience in a secretarial or administrative role, preferably in a maintenance environment.
  • Proficient in using accounting software and various online portals.

Education:

  • High school diploma or equivalent; additional certification in accounting is a plus.

Job Type: Full-time

Pay: From AED3,000.00 per month
