Job Description: We are seeking a highly organized and professional Administrative Assistant to join our team. The ideal candidate will be responsible for managing the front desk activities, ensuring smooth operations, and delivering exceptional customer service to visitors and clients. This position requires excellent communication and interpersonal skills, as well as the ability to handle multiple tasks efficiently.
Responsibilities:
- Greet and welcome visitors in a friendly and professional manner
- Answer incoming calls and direct them to the appropriate personnel
- Maintain the reception area and ensure it is clean and presentable at all times
- Schedule appointments and manage calendars for executives
- Receive and distribute incoming mail and packages
- Provide general administrative support such as data entry, filing, and document management
- Assist with coordinating meetings, conferences, and other events
- Handle inquiries and provide accurate information to clients, customers, and employees
- Maintain office supplies inventory and place orders as needed
Requirements:
- High school diploma or equivalent qualification
- Previous experience as a front office executive or similar role is preferred
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Proficient in using office equipment such as computers, printers, and telephone systems
- Knowledge of Microsoft Office Suite (Word, Excel, Outlook)
- Pleasant and professional demeanor with a customer-oriented approach
- Ability to handle sensitive and confidential information with integrity
- Knowledge of accounting will be an added advantage.
