JOB RESPONSIBILITIES
1 Greet and welcome guests as soon as they arrive at the office
2 Connect visitors to the concerned person
3 Answer, screen and forward incoming phone calls
4 Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
5 Provide basic and accurate information in-person and via phone/email
6 Distribution of all documents received from Camps / fax / Courier.
7 Checking Emails and forwarding it to relevant person or dept. for their information or action, if require.
8 Recording of new tender and JIH enquiries received by email and forwarding the same to estimation dept.
9 Preparation of Job Commencement advise upon award of new contract / project.
10 Preparation of pre-qualification and submission
11 Prepare documents for gate passes and submission
12 Keep track of office stationary and maintain inventory
13 Print letters drafted by Project Managers and submit to client by email and hard copy after management signature.
14 Coodinate with drivers for submission of official documents.
15 Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
16 Corresponding the E-mails, Incoming and outgoing (Time to Time)
17 Monitoring Calls (Incoming / Outgoing)
18 Distribution of Transmittals from Ajman, Dubai and HCEM
19 Monitoring Log Sheet for Incoming and Outgoing (Time to Time)
20 Assist MD for Personal Works / Documents
21 Filling Documents (New / Ongoing Projects)
22 Filled Documents given by Contracts Manager - Separate Filing
23 Aloted Estimation given by Department (Time to Time)
24 Assist for Interviews for new Applicants
25 Update the Interview tracker.
26 Assist Each staff of every department on their concern.
27 Manage and Maintain all controlled company document
28 Update and control procedure documents and forms
29 Create and manage document hierarchy and process systems
30 take charge of all documents identifications, classification and filing
